Generative AI and Large Language Model (LLM) Policy

Earthline Journal of Mathematical Sciences

1. Purpose and Scope

This policy defines the acceptable and responsible use of Generative Artificial Intelligence (GenAI) tools—including Large Language Models (LLMs), automated writing assistants, code-generation tools, and image-generation systems—within the publication workflow of Earthline Journal of Mathematical Sciences. It applies to authors, reviewers, and editors.

2. Use of Generative AI by Authors

2.1 Acceptable Use
  • Grammar, spelling, and language editing
  • Improving clarity and readability
  • Generating code for routine mathematical computations
  • Preparing figures or diagrams with full verification
  • Formatting references or LaTeX code
2.2 Prohibited Use
  • Generating original mathematical results, theorems, proofs, or interpretations
  • Fabricating or modifying data, citations, or references
  • Using AI-generated reasoning without human verification
  • Listing AI tools as authors or contributors
2.3 Disclosure Requirement

Authors must include a statement describing any AI assistance used during manuscript preparation. Recommended statement:

“The authors used generative AI tools (specify tool/version) solely for language editing. No AI system contributed to the mathematical content, proofs, or scientific conclusions.”

Failure to disclose AI use may result in rejection or post-publication correction.

3. Author Responsibilities

  • Verify the correctness of all mathematical results
  • Ensure originality and avoid plagiarism
  • Check AI-generated figures, code, or text for accuracy
  • Prevent inclusion of copyrighted or inappropriate content

4. Use of Generative AI by Reviewers

4.1 Acceptable Use
  • Improving grammar or clarity in review comments
  • Summarizing sections for personal understanding
  • Checking for plagiarism or duplicated content
4.2 Prohibited Use
  • Uploading confidential manuscripts to public AI tools
  • Generating review reports or recommendations using AI
  • Using AI to validate mathematical correctness
  • Disclosing manuscript content to external services

5. Use of Generative AI by Editors

  • Using AI for language checks in correspondence
  • Assisting with reference formatting
  • Initial plagiarism screening

Editors must not use AI to make editorial decisions, evaluate mathematical claims, or generate confidential communications.

6. Authorship and Accountability

  • AI tools cannot be listed as authors
  • All listed authors must be human
  • Authors are fully responsible for all content, including AI-assisted material

7. Ethical Standards and Plagiarism

Any AI-assisted content must be original, fully verified, and free from plagiarism. Misuse of AI tools will be treated as academic misconduct.

8. Policy Enforcement

  • Manuscript rejection
  • Article retraction
  • Notification to affiliated institutions
  • Restrictions on future submissions

9. Policy Updates

Earthline Journal of Mathematical Sciences will periodically update this policy in accordance with evolving best practices for responsible AI use in scholarly publishing.
